The Academy has a phenomenal job opportunity: our CEO, Kasia Urbaniak, needs a genius, powerhouse assistant who can manage all aspects of her personal and professional life.

Your position will be her right hand and gatekeeper. Your administrative and organizational prowess will clear the path for Kasia and her team to maximize their creativity, efficiency, and reach.

About us:

  • The Academy is an NYC-based school that trains women in the arts of power and influence. We offer in-person and online courses, as well as private coaching for a select few clients.

About the role:

  • Expertly manage day-to-day scheduling, coordination, and meeting logistics.

  • Screen incoming emails and call requests, prioritize items for follow-up, and correspond with key constituents (both internal and external).

  • Ensure Kasia is always hyper-prepared for all classes, travel, events, meetings, etc. From the administrative (creating agendas, drafting one-pagers, managing itineraries, making reservations, printing material) to the logistical (arranging transport, ensuring wardrobe, scheduling hair & makeup), you create ease through organization.

  • Accompany Kasia to interviews, speaking opportunities and do whatever it takes to ensure thorough preparation.

  • Deftly handle personal and business errands in NYC.

  • Comprehensively research various topics.

  • This job includes occasional tasks on some weekends when courses are generally held. These dates are set months in advance, so you’ll know which weekends you’ll be expected to work.

About You:

  • You are a crystal clear communicator who can keep pace with (and even relish) rapid change.

  • You are insanely detail oriented, consider yourself a perfectionist, and never let anything slip through the cracks. You naturally think about and take care of all the little details, so others don't have to!

  • You’re passionate about being the “get things done” person.

  • You have previous experience as a personal assistant and are comfortable taking on a wide range of tasks with little direction.

  • You respect the chaos that frequently exists within the creative process, and have the ability to create order without disrupting creative flow.

  • You’re culturally-savvy, internet-savvy, and tech-savvy.

  • You are absolutely committed to maintaining the confidentiality of students and high-profile clients of The Academy.

  • You think proactively and are an expert problem solver. You don’t need much hand holding.

  • You are flexible and willing to think outside of the box.
